Americas Project Support Advisor

RINA is currently recruiting for a Americas Project Support Advisor to join its office in Rio de Janeiro within the Energy Business Integration and Project Coordination Division.
Mission
This role provides support for the passive invoice cycle, primarily focused on the accurate and timely processing of 1099 inspector invoices to ensure compliance, proper documentation, and on-time payment. #LI-KM
Key Accountabilities
1.Invoice & Timesheet Intake
- Monitor designated contractor email inboxes for submissions from 1099 inspectors.
- Ensure inspectors submit timesheets, invoices, and inspection reports to the correct contractor email boxes.
2.Invoice Tracking & Logging (By COB Monday)
- Review all new submissions and add each inspector invoice to the Excel tracking spreadsheet.
- Record required details such as inspector name, invoice number, invoice date, hours, mileage, expenses (if applicable), and contractor reference.
3.OPUS System Verification & Approval
- Review submitted invoices against the OPUS system to verify accuracy of hours, mileage, and expenses.
- Resolve any discrepancies prior to approval.
- Enter the inspector’s invoice number in OPUS and approve the invoice once validated.
4.Invoice Distribution & Documentation
- Save each approved invoice as a PDF document.
- Submit the PDF invoice to the supplier invoice email box and the appropriate contractor email box.
- Ensure documents are properly named and saved for audit and reference purposes.
5.Email Box Cleanup & Status Tracking (By Wednesday)
- Update the Excel tracking spreadsheet to reflect approved status.
- Move processed and approved emails into the designated “Approved” subfolders.
- Confirm all invoices are reviewed, approved, routed correctly, and aligned with the scheduled pay date.
6.Team Invoice Box Support
- Assist with monitoring and organizing team invoice email inboxes.
- Ensure sent and completed emails are filed into the correct subfolders in each email box.
- Support consistent inbox organization and filing standards across the team.
Qualifications
- High School Diploma.
- Degree in Business Administration, Finance, or related (completed or in progress) is a plus.
- Advanced English skills.
- Advanced Excel skills.
- Organized, multitask and autonomous profile.
- Experience in financial roles or Admin data entry.
- Experience with international clients.
- Good problem solving skills.
