RINA is currently seeking a Germany Certification Business Support Advisor for its Hamburg office to support the certification department within the Certification Europe Region Division.

Mission

Die Stelle ist Teil des Customer Services und wird für die zugewiesenen Kunden als Hauptansprechpartner während der gesamten Vertragslaufzeit fungieren. Um dies zu gewährleisten, wurden spezifische Aufgaben und Verantwortlichkeiten festgelegt.

 

This role is part of Customer Services and involves serving as the primary point of contact for assigned clients throughout the entire contract period. Specific tasks and responsibilities have been defined to ensure this

Key Accountabilities

  • Planung und Überwachung von Audittätigkeiten einschließlich der Ablage von Auditdokumenten in einer speziellen Datenbank;
  • Zuweisung von Aufgaben an (interne und externe) Auditoren, einschließlich Unterstützung bei Reisevorbereitungen;
  • Vorbereitung von Zertifizierungsentscheidungen;
  • Rechnungsstellung für Audits an Kunden und Rechnungsprüfung externer Auditoren;
  • Überwachung von Zahlungseingängen einschließlich notwendiger Mahnungen;
  • Erstellung von Angeboten für bestehende Kunden;
  • Unterstützung der Vertriebsabteilung durch Terminabsprachen mit bestehenden und potenziellen Kunden;
  • Registrierung von Interessenten/Angeboten/Verträgen in den RINA-Datenbanken;
  • Sonstige Büroarbeiten, wie Bestellung von Büromaterial
  • Registrierung der durchgeführten Tätigkeiten und der geleisteten Arbeitsstunden in den entsprechenden Datenbanken.

 

  • Planning and monitoring audit activities, including filing audit documents in a dedicated database;
  • Assigning tasks to (internal and external) auditors, including assisting with travel arrangements;
  • Preparing certification decisions;
  • Invoicing clients for audits and reviewing invoices from external auditors;
  • Monitoring incoming payments, including sending necessary reminders;
  • Preparing proposals for existing clients;
  • Supporting the sales department by scheduling appointments with existing and potential clients;
  • Registering leads, proposals, and contracts in the RINA databases;
  • Other office tasks, such as ordering office supplies
  • Recording of completed tasks and hours worked in the relevant databases

What we are looking for

  • Ausbildung im kaufmännischen Bereich oder vergleichbare Qualifikation;
  • Erste Berufserfahrungen bei der Kundenbetreuung, bevorzugt im Dienstleistungs- und Prüfsektor, vorzugsweise in einem internationalen Arbeitsumfeld;
  • Fließende Beherrschung der deutschen und englischen Sprache ist ein Muss;
  • Gute Computerkenntnisse insbesondere Microsoft Office-Anwendungen;
  • Organisationstalent und Liebe zum Detail;
  • Fähigkeit zur selbstständigen Arbeit und ausgezeichnete Teamfähigkeit;
  • Fähigkeit, unter Druck zu arbeiten;
  • Bereitschaft zu lernen und sich weiterzuentwickeln;

 

  • Commercial training or comparable qualification;
  • Initial professional experience in customer service, preferably in the service and testing sectors, ideally in an international work environment;
  • Fluency in German and English is essential;
  • Good computer skills, especially in Microsoft Office applications;
  • Organizational talent and attention to detail;
  • Ability to work independently and excellent teamwork skills;
  • Ability to work under pressure;
  • Willingness to learn and develop professionally;
