RINA is currently recruiting for a Vendor Qualification & Tender Scouting Specialist to join its office in Genoa, Italy within the RINA Consulting Tender Division.
Mission
The role is focused on Vendor Qualification & Tender Scouting activities. #LI-MT3
Key Accountabilities
Vendor List Management:
- Ensure the company’s inclusion in clients' approved vendor lists, regularly verifying and updating information.
- Maintain accurate and compliant records to align with client-specific requirements
Supplier Accreditation:
- Manage the end-to-end process of accrediting the organization as a qualified supplier for prospective clients.
- Monitor evolving regulations and accreditation criteria to ensure ongoing compliance.
Documentation Preparation:
- Collaborate with internal departments (quality, legal, technical, and HSE) to collect and prepare documentation for pre-qualification, including certifications, compliance statements, technical references, and company information.
- Submit and manage documentation on client portals and digital platforms.
Client Relations:
- Maintain proactive communication with clients to address queries and secure feedback regarding accreditation requirements.
- Support the tender team in ensuring the company’s inclusion in procurement processes post-accreditation.
Monitoring and Reporting:
- Track deadlines for accreditation renewals and maintain records of client submissions.
- Generate regular reports on accreditation activities and the company’s standing relative to competitors.
Tender Support:
- Ensure the company’s eligibility for tender invitations by verifying its presence on vendor lists before RFQ (Request for Quotation) or RFP (Request for Proposal) issuance.
- Collaborate closely with the tender team to maximize participation opportunities in client procurement processes.
Tender Scouting: Monitoring dedicated commercial portals to identify opportunities to be shared with the commercial and the business teams:
- monitor on the due frequency the portals
- identify suitable opportunities
- share the opportunities with the commercial team and the business unit
- maintain updated the tender register
- collaborate in the improvement of the scouting keywords
- collaborate in the evaluation and adoption of new portal
Education
Qualifications
- Proven experience in vendor management, tender processes, or supplier accreditation, preferably in industries such as engineering, procurement, or construction.
- Familiarity with client procurement platforms and vendor list systems.
- Strong knowledge of compliance documentation, quality standards, and certification processes.
- Proficiency in using vendor management software, databases, and reporting tools.
