RINA is currently recruiting for a Aerospace & Defence Business Support Advisor - Categorie protette legge 68/99 to join its office in Genoa (Italy) within the Aerospace & Defence Division.

Mission

As a Business Support Advisor you will provide operational and administrative support to Project Management activities, working closely with the Business Development team and the Security and Cybersecurity technical department. The role contributes to the efficiency of internal processes, document management, and coordination of both project-related and commercial activities.   

Key Accountabilities

Customer Data & Relationship Management
Maintain accurate and up-to-date customer records in the database. Ensure completeness of information and handle account-related inquiries. Support customer satisfaction through prompt, professional responses and effective issue resolution. Address concerns in collaboration with internal teams and manage billing disputes where necessary.

Offer & Order Management
Work closely with Business Development to input offers into internal systems and provide customers with complete and correct documentation. Receive and process customer orders, coordinating with relevant departments to ensure timely and accurate fulfillment. Keep customers informed on order status and delivery timelines.

Standard Offering Presentation & Communication
Communicate product and service information to customers, manage updates on order status, and send relevant communications such as invoices and payment reminders.

Contract & Invoicing Activities
Manage and update contracts, ensuring their accuracy. Generate and issue invoices in line with sales orders or service agreements. Validate invoice data, including prices and quantities, and manage any invoice-related inquiries or discrepancies.

Payment Processing & Financial Coordination
Track customer payments and coordinate with the Finance team to ensure accuracy and timeliness. Address payment issues and provide support on financial matters linked to customer accounts.

Timesheet & Project Monitoring
Oversee weekly timesheet submissions from technical staff, ensuring accuracy and compliance with internal and client standards. Send reminders and verify all data submitted. Support Cyber Project Managers and Business Lines in forecasting (EAC) and reforecasting, resource tracking, financial follow-up, and project closure.

Event & Marketing Support
Contribute to the planning and smooth execution of in-person events, ensuring participant satisfaction and budget control. Support the creation of marketing materials for external events, meetings, and internal training sessions.

Compliance & Documentation
Ensure all customer-facing activities align with company policies and procedures. Maintain organized, accurate documentation of communications, transactions, and financial activities.

Business Development Support
Assist Business Development Managers in coordinating with partners and vendors. Ensure clear communication and efficient handling of partner requests. Provide operational support to the Sales and BDM teams in managing relationships with software partners and vendors.

Education

High School Diploma/GED in Business Administration Finance Management

Qualifications

  • Diploma or degree in Economics, Management, or a Technical discipline

  • 1–3 years of experience in operational or administrative support roles

  • Preferably targeted at candidates belonging to protected categories, certified as beneficiaries under Italian Law 68/99

  • Excellent command of Microsoft Office Suite (Excel, PowerPoint, Word)

  • Basic familiarity with project management tools (e.g., MS Project, Jira)

  • Good knowledge of English, both spoken and written

  • High level of accuracy and attention to detail

  • Strong organizational and time management skills

  • Clear communication and effective teamwork abilities

  • Proactive attitude and problem-solving mindset
