RINA is currently recruiting for a Proposal Manager to join its office in Chicago or Lisle, IL within the RINA Consulting IFI Commercial and Tender Management Division.
Compensation Data
$90,000 - $105,000 commensurate with experience and education.
Mission
The Proposal Manager leads the administrative aspects of RINA’s NAM Proposal Management team, coordinating non-technical activities for timely, high-quality tender submissions. The role works with technical and business development teams to ensure proposals meet company and client standards, monitors tender portals, organizes bid reviews and progress meetings, gathers departmental input, and oversees the submission process from qualification to completion.
Key Accountabilities
- Analyze client request (RFP/Q) and develop proposal responsibility matrix
- Set up and lead proposal kickoff calls to ensure alignment on client focused strategies. Lead and facilitate proposal or presentation review meetings as necessary
- Set up and format proposal documents and presentation decks according to RINA templates
- Collaborates with technical staff to write, review, and edit original content for clarity, compliance, and key messages
- Prepare draft versions of proposal content as assigned (resumes, project fact sheets, corporate information)
- Lead presentation teams, facilitate meetings, develop interview strategy, coach and provide feedback to presenters, and prepare teams for Q&A
- Proofread all material for grammatical and formatting errors
- Create simple graphics that meet RINA brand standards to effectively communicate the strategic visions
- Work with minimal oversight, demonstrating strong interpersonal and persuasive communication skills
- Manage timelines for each proposal, ensuring that deadlines are met
- Verify compliance with client requirements
- When hard copies are required, physically produce documents using internal production resources OR coordinate vendor production of documents
- Manager on time delivery of assigned proposals, whether via online portal, FedEx, or via RINA employee
- Archive proposal documents as per regional policy
- Maintain proposal content libraries
- Attend weekly Proposal Team meetings to review pending items, proposal status, and team initiatives
- Performs additional responsibilities as required by business needs.
